For under fifteen seats, the decision is rarely “which has the most features.” It is which product your owners will keep using, and which one makes offboarding, contractor access, and audit questions cheaper when reality hits.
This shortlist stays small on purpose: 1Password Business, Bitwarden (Teams or Enterprise, depending on what you need from SSO), Dashlane Business, Keeper Business, and NordPass Business. Below is what actually goes wrong once the honeymoon ends.
1Password Business
Why teams pick it: polished clients, Shared vaults that non-technical people understand, and a support story that feels “consumer-grade but serious.”
Real issues we see:
- Secret Key + password recovery is a process, not a vibe check. If someone loses devices and never saved an Emergency Kit, you are not “resetting a password”; you are executing account recovery workflows that depend on how admins configured recovery policies. Founders assume “IT can always unlock it”; small teams often discover they are IT.
- Guests and shared access become the sprawl vector. Agencies, bookkeepers, and fractional CFOs do not neatly map to “employee seats.” You hit guest limits, awkward sharing boundaries, or people start duplicating credentials in personal vaults “just for this week.”
- SSO is not a checkbox; it is a dependency. When SAML is in play, outages and misconfigurations at the IdP become company-wide lockouts. That is true for every vendor, but 1Password’s polish can trick teams into skipping a written break-glass drill.
Best when: you want the lowest-friction rollout for a mixed-skill team and you will pay for polish and document recovery.
Bitwarden (Teams / Enterprise)
Why teams pick it: strong open-source credibility, optional self-hosting for the few SMBs that truly want it, and per-seat economics that stay disciplined as you add seats.
Real issues we see:
- Collections and groups are powerful, and easy to get wrong. A common failure mode is “I can’t see the login” because someone was added to the org but not to the right collection, or two admins created parallel structures with similar names. That looks like a bug; it is usually governance debt.
- Self-hosting shifts the incident to you. Updates, backups, TLS, and availability become your problem. Teams underestimate how often “we’ll self-host for control” becomes “we’re restoring from backup at the worst possible time.”
- Autofill is not identical across every weird login form. Highly custom SSO pages, shadow DOM-heavy sites, and some mobile WebViews still produce support tickets, usually solved, but not always instantly.
Best when: you have someone who will own structure (groups, collections, naming) and you want long-run cost control without pretending security is free.
Dashlane Business
Why teams pick it: Dark Web Monitoring and a guided security story that resonates with founders who just lived through their first “are we breached?” scare.
Real issues we see:
- Sharing semantics vs how sales actually works. Teams want “one login for the whole pod.” Password managers enforce identity and accountability differently than a sticky note in Slack. Dashlane’s model can be excellent, but you still get collisions when people want concurrent access to high-churn shared accounts without a clear owner.
- You pay for the bundle story. If you do not operate the security features (monitoring triage, policy enforcement), you still carry the product complexity, and people quietly route around it.
Best when: you want a security narrative bundled with the password workflow, and you accept a narrower lane than “everything in the ecosystem.”
Keeper Business
Why teams pick it: enterprise-adjacent features (granular controls, compliance positioning) without assuming you have a full IT shop.
Real issues we see:
- Role sprawl is real. Fine-grained permissions are a gift until nobody remembers why a contractor has what they have, and audits become archaeology.
- Operational rigor on exit. Offboarding is where “granular” becomes painful: transferring ownership of records, shared folders, and admin-only objects without breaking automations.
Best when: regulated-ish industries or teams that already think in least privilege, and will keep a simple access map updated.
NordPass Business
Why teams pick it: simple UX and a familiar brand if you already live in Nord products.
Real issues we see:
- Enterprise edge cases. The product can be totally adequate for 10 seats and still surprise you when you need a specific IdP + SCIM + audit combination. Validate the exact workflow with a test user, not a marketing PDF.
- Ecosystem depth vs the incumbents. Fewer third-party “how we solved X” articles and integrations than 1Password/Bitwarden in some stacks, fine until you are the first team in your peer group to hit a niche requirement.
Best when: you want straightforward team vaults and your stack is not exotic.
How we compare (without pretending it is lab-perfect)

- Break-glass: what happens when the founder’s phone dies on a travel day.
- Offboarding: revoking device access, rotating shared credentials, and removing guest access without orphaning work.
